Fundraising Report Analyzer

Step-by-step guide for Event Advisors
Internal Use Only
What this tool does: The Fundraising Report Analyzer turns your OneCause campaign data into a one-page visual snapshot you can share with your host partner. It shows how much has been raised, who is participating, where the gaps are, and what is possible if the campaign keeps its momentum. No spreadsheet skills needed.

Before You Start

You will need one or two CSV files exported from OneCause. Your Media Production team schedules these to be emailed to you automatically. Check your inbox for the most recent email from OneCause before running the report.

Team Mode

One CSV file

Use this for fraternities, sororities, athletic programs, and any group where each participant belongs to a single team. You only need the Donations by Donor report.

Group Mode

Two CSV files

Use this for schools or organizations where one family can have members in multiple groups (e.g. different grade levels or teams). You need both the Donations by Donor and Participants reports.

Step-by-Step Instructions

  1. Download the CSV files from your email

    Check your inbox for the scheduled report email from OneCause. Download the CSV file(s) and save them to your Event Advisor folder in the Host Partner File on the M2M Shared Drive before uploading. Include the host partner's name in each file name (e.g. "Flowery Branch Donations by Donor", "Flowery Branch Participants") so files stay easy to find and never get mixed up between host partners.

  2. Open the tool

    Go to the Fundraising Report Analyzer link shared by the Director of Marketing. It opens in your browser — no app download needed.

  3. Enter your campaign details

    Fill in three fields at the top of the page:

    • Organization / Group Name — the name of your host partner (e.g. "Oconee Football")
    • Participation Pool — the total number of eligible participants, not just those who have registered. This is saved in the Host Partner File on the M2M Shared Drive if you need to look it up.
    • Fundraising Goal ($) — the dollar goal you and your host partner set for this campaign.
  4. Upload the Donations by Donor CSV

    Click Choose File under "Upload Donations by Donor CSV" and select the file you saved in Step 1. You will see the file name appear once it is loaded.

    Tip
    You can also drag the file from your downloads folder and drop it onto the upload area.
  5. Group Mode only: Upload the Participants CSV

    If you are running a group-structured campaign (e.g. a school), also upload the Participants CSV. Click Choose Participants File and select that second file from where you saved it in Step 1. If you are in Team Mode, skip this step entirely.

  6. Group Mode only: Confirm the group column

    If your Participants CSV has more than one possible grouping column (e.g. Team and Grade), the tool will show a dropdown so you can pick which column represents the group. If you need to combine two columns (e.g. Grade + Campus), check the "Combine with a second column" box and choose the second column.

  7. Click Generate Report

    Once your files are uploaded, a green Generate Report button will appear. Click it. The button will say "Generate Report (Group Mode)" if both files were uploaded, or "Generate Report (Team Mode)" if only the Donations CSV was uploaded. Confirm you are in the right mode before clicking.

  8. Review the report

    The report will load below the setup screen. Scroll through it to review the campaign snapshot before your host partner meeting. See the section below for a guide to what each section means.

  9. Share or save

    To save the report, click Print / Save PDF in the top right corner. Choose "Save as PDF" in the print dialog and save it to your Event Advisor folder in the Host Partner File on the M2M Shared Drive. Include the host partner's name in the saved file name (e.g. "Flowery Branch Fundraising Report") so it's easy to find later. You can then share the PDF with your host partner contact.

    Email Summary
    Use the Email Summary button to copy a plain-text version of the key stats. Paste it into an email to your host partner — then customize it before sending to make it personal and relevant to your conversation. Don't forget to attach the PDF!

What Each Section Means

Summary Stats (top row of numbers)

A quick snapshot of where the campaign stands right now. Key numbers to watch:

  • Total Raised — actual dollars raised so far, after platform fees.
  • Registered — how many participants have created a fundraising page.
  • Fundraisers — how many have at least one donation. This is your most important engagement number.
  • Avg Per Participant — average raised among those who are actively fundraising.

Speedometer

Shows progress toward the campaign goal. The needle points to how far along you are. The number in the center is the total raised. Below it you will see the percentage of goal and how much is still needed.

Fundraising Tiers

Shows how participants are distributed across fundraising levels: Not Registered, $0 Raised, $1-$99, $100-$200, $201-$500, $501-$999, and $1,000+. Use this to identify which tier has the most room for improvement.

Team / Group Rankings

A bar chart showing which teams or groups have raised the most. In Group Mode, these totals reflect cross-credited amounts (one family's donation counts toward every group their students belong to).

Improvement Opportunities

Shows specific scenarios for what would happen if more participants started fundraising or increased their current amount. Use these numbers to set a target for your next conversation with your host partner.

What It Takes to Hit Goal

Shows exactly how many new participants or additional dollars per person would be needed to close the gap to the campaign goal.

Here's What's Possible

A vertical bar chart showing what the campaign total would look like if the entire participation pool raised $500, $750, or $1,000 per person. This section is not just about inspiring full participation — it is an invitation to dream bigger. Use it to open a conversation with your host partner about what this campaign could become if the momentum keeps building.

Unassigned Donations

Donations where no participant was credited in OneCause. These are real dollars that are not showing up under any participant or group. Coordinate with the Data Captain to assign these donations. Every dollar here matters for accurate reporting.

By Team / By Group

A detailed breakdown of every participant, grouped by team or group. You can expand or collapse each team. Use the filter bar above the All Participants table to quickly find participants in a specific fundraising tier (e.g. everyone at $0, or everyone between $1 and $99).

Troubleshooting

The Generate Report button is not appearing.
Make sure you have uploaded the Donations by Donor CSV first. The button only appears after that file is loaded. The Participants CSV is optional and can be added before or after.
Some participants are showing up in the Unassigned section.
This usually means a donation was made but was not credited to any participant in OneCause. Work with your host partner to identify who made the donation and ask them to credit it to the correct participant page.
I uploaded the wrong file or entered the wrong goal.
Click the arrow (New Report) button in the top right corner of the report. This will take you back to the setup screen so you can start over. It takes about 30 seconds to re-run.
I do not see the CSV files in my email.
Contact your Graphics & Media Production Coordinator to get your reports scheduled. They will set up automatic delivery to your inbox on the day that works best for your weekly host partner review.
The numbers look wrong or lower than I expected.
The tool uses the "Fundraising Credited" amount from OneCause, which is the after-fee amount. This is the correct number to use. If you think there is a data error, check the campaign page in OneCause directly and compare.

Purpose: This document tells you exactly which OneCause reports to schedule, which fields each report must include, when to send them, and how to handle scheduling requests from Event Advisors. The Fundraising Report Analyzer tool that EAs use depends entirely on these CSVs being formatted correctly.

Overview

There are two report types. Every campaign needs Report 1. Report 2 is only needed for group-structured campaigns (typically schools where families have students in multiple grades or groups).

Report 1 — Always Required

Donations by Donor
Required for all campaigns regardless of structure. This is the primary data source for the analyzer.

Report 2 — Group Campaigns Only

Participants
Only needed when the host partner uses a group credit structure (e.g. a school with multiple teams/grades). The EA will tell you if this is needed.

Always Include the Host Partner Name
Every scheduled report — and every file the EA later saves from it — must have the host partner's name in the file name. This is true for both the raw CSV exports and the PDF report the EA saves afterward. Use a clear, consistent pattern such as:
  • Flowery Branch Donations by Donor (Report 1 CSV)
  • Flowery Branch Participants (Report 2 CSV, group campaigns only)
  • Flowery Branch Fundraising Report (the PDF the EA saves from the analyzer)
Never leave a file named just "Donations by Donor" or "Participants" — with dozens of host partners running campaigns at once, an unnamed file is unfindable and risks being confused with another partner's data.

Report 1: Donations by Donor

Donations by Donor CSV

Required for all campaigns

This report must include the following columns. Column names must match exactly as shown (including capitalization and spacing). The tool will not work correctly if columns are renamed or missing.

Fundraising CreditedRequired Currency This is the primary dollar field. The analyzer uses this column exclusively for all totals, averages, and goal calculations. Must be the post-fee, credited amount.
ParticipantRequired Text The participant's fundraising page display name (e.g. "Leib Family"). May differ from the registered account name. Blank if the donation is not credited to anyone.
TeamRequired Text Team or group the participant belongs to in OneCause. Used for team-mode grouping and bar chart rankings.
Participant First NameRequired Text Critical for group mode. The participant's registered first name (e.g. "Ryan"). Used to match display names (e.g. "Leib Family") to the Participants CSV. Must be the account holder's first name, not the student's.
Participant Last NameRequired Text Critical for group mode. The participant's registered last name (e.g. "Leib"). Combined with First Name to form the lookup key "Ryan Leib" which must match the Participant Name in Report 2.
Important
The Participant First Name and Participant Last Name columns are what allow the tool to correctly assign "Leib Family" donations to "Ryan Leib" in the Participants report. If these columns are missing or blank, group-mode campaigns will have large numbers of unassigned donations and the By Group section will not work correctly.

Report 2: Participants (Group Campaigns Only)

Group campaigns only

This report maps each registered participant to the group(s) (teams/grades/etc.) they are associated with. The tool auto-detects the repeating column structure regardless of what it's called (Player #1 Team, Student #1 Grade, Member #1 Class, etc.) and no longer caps the number of groups per participant at three — include as many repeating blocks as the campaign needs.

[Label] #1 TeamRequired Text The group name the first student belongs to (e.g. "13 Girls Gold Lindsay McCarty"). This becomes the group label in the report. Use "N/A" if not applicable. If a campaign has more than one possible grouping column (e.g. both Team and Grade), the tool will let the EA choose which one to group by when they upload the file.
[Label] #2, #3, #4... First/Last Name/TeamOptional Text Repeat the same three-column pattern for each additional student/member a participant may have. There is no fixed cap — add as many numbered blocks as the campaign structure requires. Use "N/A" for any cell that doesn't apply.
How the matching works
The tool joins the two reports using Participant First Name + Participant Last Name from the Donations report (e.g. "Ryan" + "Leib" = "Ryan Leib") against Participant Name in the Participants report. These must match exactly. If they do not match, that participant's donations will not be credited to any group.

Scheduling & Delivery

EAs run these reports as part of their weekly review cadence with host partners. Reports should be scheduled to arrive in the EA's inbox on the day they ask for — typically the day before or the morning of their weekly check-in call.

Delivery Day

The EA will tell you which day of the week to schedule delivery. Default to Monday unless the EA specifies otherwise. Schedule for the closest upcoming delivery day from when the request comes in.

Delivery Time

Schedule for 6:00 AM local time so the EA has the report ready before their workday starts. The data reflects whatever is in OneCause at the time the report runs.

Don't Skip These Steps

  1. Locate the campaign in OneCause

    Find the correct campaign. Confirm it is the active one for that host partner and that the reports are available to schedule.

  2. Schedule Report 1: Donations by Donor

    Set up the scheduled export with all required columns listed above. Confirm that Participant First Name and Participant Last Name are included — even for team-only campaigns, these fields are useful to have. Name the scheduled export with the host partner's name included (e.g. "Flowery Branch Donations by Donor") so the file is unmistakable the moment it lands in the EA's inbox.

  3. For group campaigns: Schedule Report 2: Participants

    Set up the Participants report with all required columns. Double-check that Participant Name will output as "First Last" format to match the lookup logic. Name this export with the host partner's name included as well (e.g. "Flowery Branch Participants").

  4. Confirm the delivery date with the EA

    Reach out to the EA to confirm which day works best for their weekly cadence with the host partner. Reports deliver at 6:00 AM, so the ideal day is the morning of — or the day before — their regular check-in call. Once confirmed, set the schedule and let the EA know what to expect in their inbox.

  5. Set the delivery email to the requesting EA

    The report should go directly to the EA's M2M email address. Do not send to the host partner.

Common Mistakes to Avoid
  • Do not schedule the report to go to the host partner directly. The CSV files are internal tools for EA use only. The EA will share a PDF summary with their host partner after running the analyzer.
  • Do not leave a file name generic (e.g. just "Donations by Donor"). Always include the host partner's name, both in the scheduled export name and in any copy the EA saves to the Shared Drive.
